During enterprise resource planning software implementations, a question that frequently shows up is should one approve the usage of ERP customization to make the software work the way you want it to?

In most cases, clients inquire about ERP customization customizations/tweaks to have the system tailored as per their specific needs.

As most of us are aware, customizing ERP system software, at first, seems like a great idea. After all, most of the consumers have a specific approach towards their daily tasks. On the other hand, there have been many downsides even for customizing ERP. Off-the-shelf ERP systems in the past were not able to offer all the possibilities at one go and costly customizing was often considered the only solution. These days, the issue is more recurrently born out of other causes.

Causes of ERP customizations that have recently been observed while consulting:
i. The system of legacy is so deeply rooted in the habits and minds of the consumers that they cannot consider any other possible alternative to accomplish the same result
ii. Consultants working on certain projects do not possess enough knowledge of the system that is required to suggest possible solutions
iii. The company management team and the project team do not offer any clear indication regarding the "customize/do not customize" policy
iv. Precise requirements that can be satisfied in no other way

While the last point has been taken care of in today's times, the decision in the other three cases need be taken after having thought about all the alternative solutions and the possible advantages and disadvantages.

Advantages:
Consumers feel more confident about the functionalities
Consumer training can be easier
Some 'client-specific' functionalities can be preserved
Reduced change management effort

Disadvantages:
Higher maintenance cost
Higher project cost
Longer project duration
Software updates tend to be more difficult
Customized software often freezes the environment
Increased dependence from the consulting firm

To work out the whole process successfully, one needs to:
a) Describe and share the rules at project level
b) List out all customizations requests, the cost, the priority, the business need behind them
c) Ensure that all the potential solutions have been proposed
d) Understand the customizations' impact in the long term scenario
e) Try to separate the customizations so that software updates do not affected them

We need to consider the pitfalls of ERP customization and understand how we can minimize it in our ERP implementation and still continue having an ERP system that works the way our clients want it to. One of the current trends in enterprise resource planning customization process, along with mobile/cloud functionality, is the progress towards enterprise resource planning packages that have modern consumer grade interfaces.

With the rise of social media sites such as LinkedIn and Facebook and through the usage of iPads, iPhones and other such touch-friendly hardwares, people seem to have gotten used to working with highly customizable, modular interfaces. Why can't ERP customization systems be designed with the user-friendly experience in mind so that they work the way clients want it to work? About Author
